In todays era, email is the lifeline of any organization. Emails have become one of the basic necessities for any organization big or small to function. Emails are not only used to quickly and rapidly communicate messages but also to send documents (as attachments) to users within the organization and vendors and customers outside the organization. Email systems are estimated to contain more than 80% of all enterprise information in some way or the other !!

The challenge of securing emails (content and attachments) within and outside of the organization has become more and more challenging. Errors (like choosing the wrong email address), bad intention (like forwarding confidential information to personal accounts before resigning) or simply lack of awareness (like not realizing that draft RFPs are not to be sent to external agencies) are the most common ways of information breaches via emails. Email systems don't allow the sender of email to control the email and its attachments once it is sent to the recipient. Once the email is sent, the sender cannot control reading, editing, forwarding, printing, etc by the recipient. In most cases control, even if they exist are only applicable if the sender and recipient are using the same email system which is rendered ineffective when emails are sent outside of the organization.

Seclore FileSecure for Lotus Notes provides Information Rights Management (IRM) capability to emails. Seclore FileSecure enables enterprises and individuals to:

1. Define Email Usage Policies
A usage policy defines:
WHO can use the Email i.e. people / groups within or outside of the enterprise
WHAT can each person do with the Email i.e. read / edit / print / forward / copy
WHEN can each person access the Email i.e. within certain dates, within a timespan
WHERE can the Email be accessed from i.e. specific computers, within the office.

2. Attach Policies To Individual Emails
Policies can be attached to Emails just before sending via a "SecureSend" option within the Lotus Notes interface. There are also possibilities to attach the policy at the server based on predefined rules by doing some integration work.

3. Control Usage Of The Policy Governed Email
Emails protected using Seclore FileSecure can be controlled for usage independent of their location (servers, end points, ...) within or outside the enterprise.
Using the policies attached to the information Seclore FileSecure ensures that usage of the Email is in compliance to the policies.
The policy attached to the Email can be even changed post distribution i.e. the "owner" can change WHO/WHAT/WHEN/WHERE without requesting or resending the information Email ents.

4. Audit The Usage Of The Email
Emails protected with Seclore FileSecure can not only be controlled for usage, they can also be audited.
WHO used the Email, WHAT did he/she do, WHEN & WHERE is captured from distributed usage environments and reported centrally.
These audit reports can be sliced and diced using a report builder and can be used in compliance reporting for frameworks like ISO 27001, Sarbanes Oxley, GLBA, PCI DSS & HIPA
